About the organisation
The Bank Workers Charity (‘BWC’) supports bank employees and their families across the UK, by providing advice, information, expert support and, in some cases, financial help.
The challenge
In order to deliver this work the charity was using a number of systems, including two separate CRM systems to manage areas such as grant management, the delivery of services (i.e. fielding calls from those needing their help, and meeting them to discuss their needs), engagement with organisations and individuals within the banking industry, and their marketing and communications activity. Whilst these systems were largely working, having to pay for and manage two CRM systems was proving inefficient and costly, and the organisation’s strategic objectives – increasing awareness, reaching more people, becoming more accessible and responsive, and becoming more influential – all pointed to a more modern – and sometimes more digital - approach to using technology to do this work. At the same time, having already started the journey of modernising the tools used by their small staff team to communicate, collaborate and store documents – this process needed to be completed;- moving all of their core IT infrastructure to the cloud, and at the same time maximising their investment in their new Microsoft 365 services.
Adapta support
In order to support and guide their in-house IT team, BWC decided to engage Adapta, providing them with a brief to develop a vision for how their various technology platforms should support current and future requirements and strategic objectives, and an accompanying programme of prioritised workstreams (with associated resources, investment plans and approved technology platforms). Following this work, Adapta were then retained to help establish the programme and individual workstreams, and to support the process of specifying and selecting technology partners to implement each part of the programme – including suppliers of IT managed services, CRM and digital marketing platforms.

“Adapta helped BWC to quickly articulate its technology vision for the organisation into a suite of workstreams and, where necessary, provided support for each of them. These included moving from partial to fully cloud-based Microsoft 365, a new CRM system to support client services and grant making, identifying software to improve marketing and communications, and guidance on cyber security and data protection. They assisted in the selection of appropriate service providers and delivered staff training, where necessary. They helped us establish governance structures to facilitate decision-making and Board reporting.
